What it costs to get paid

There is no setup fee and no monthly fee to accept payments through QuoteHQ. Standard per-transaction processing fees apply, and QuoteHQ’s dual pricing is designed so you receive your quoted base price.

Bank transfer (ACH)

Settles at your base price. Your client pays exactly what you quoted.

Card

With dual pricing enabled, the card price is set so that after a processing fee of 4% + $0.30 per transaction, you still receive your base price. Your client sees a single card price; there is no separate surcharge line.

Payments are processed by Finix in connection with our payments partner Thryve. QuoteHQ never stores full card numbers or bank credentials. Refunds, chargebacks, and disputes on your invoices are handled under the payment processor’s and card networks’ rules. Your use of dual pricing must comply with applicable law and card-network rules in your jurisdiction. Merchant payment accounts are provided under Finix’s terms of service and merchant agreement, accepted during onboarding, and approval, settlement timing, and reserves are determined by the payment processor and its sponsor bank.

Frequently asked

Do I need a credit card to start?

No. Every plan starts with a 14-day free trial and no payment method is required. You add a payment method when you're ready to continue on a paid plan.

What happens when my trial ends?

If you haven't added a payment method by then, your account switches to read-only — you can still sign in and see everything, you just can't create or change anything until a card is added. Nothing is charged and nothing is deleted. We'll remind you a week before your trial ends and again the day before, and adding a card at any point (during or after the trial) turns everything back on immediately.

How does per-seat pricing work?

You're billed monthly, in advance, for each user (seat) in your organization at your plan's rate. Adding a seat mid-cycle is prorated for the rest of the current period; removing a seat takes effect at your next renewal.

Can I cancel anytime?

Yes, and it's self-serve from your account settings. Your subscription stays active through the end of the term you've already paid for — you keep full access until then, it just doesn't renew. We don't refund or credit partial terms, and you can resubscribe anytime.

If your prices go up, does mine?

Not for 12 months. The rate you sign up at is locked for 12 months from the start of your first paid period, even if our published prices change in the meantime. After that your subscription renews at our then-current rates — and we'll email you at least 7 days before the amount you're charged changes, so you can cancel first if you'd rather.

Can I import my existing customers?

Yes — when you connect QuickBooks Online, an import wizard brings your existing customers, catalog items, and accounts over, so you're not starting from a blank list.

Can I export my data?

The AR aging report exports to CSV on demand from your dashboard. Any invoice or payment that syncs to QuickBooks Online also lives in your QuickBooks file, not just QuoteHQ. A full account export beyond that isn't self-serve yet — contact us and we'll get you a copy.

Is my data mine?

Yes. Your organization is the controller of the leads, clients, proposals, and invoices you put into QuoteHQ — we process it on your behalf, isolated from every other organization on the platform. We keep it while your account is active and only as long as required after that; see our Privacy Policy for the retention details and how to request a copy or deletion.

What counts as a client?

A client is a converted customer record in your CRM. Core includes up to 50 clients and Pro up to 500; Agency is unlimited. Leads don't count toward the client limit.

Is there a fee to accept payments?

There's no setup or monthly fee to accept payments. Card and bank payments carry a standard per-transaction cost — see 'What it costs to get paid' below.
