For contractors & the trades

The CRM for contractors — signed quotes, funded deposits.

Bid the job, collect a signed acceptance, and fund the deposit before you order a dollar of materials — all from one link.

Your week, mapped

Seven moves, one job, no float.

The stretch between an inquiry and a funded deposit is where jobs stall. QuoteHQ carries every job through it, one line at a time.

  1. 01Lead

An inquiry becomes a job worth bidding.

A homeowner or GC asks for a number on the work. Scope it as a lead and move straight to a bid — no separate tool to open first.

  2. 02Quote

Bid the job from your line items.

Build the quote from labor, materials, and allowances. Send a clean, branded proposal your client reads on a phone, change orders and all.

  3. 03Signed

    Get it signed.

The client signs the acceptance in the browser. You get an ESIGN-compliant, sealed PDF — the scope everyone agreed to, on the record before a shovel moves.

  4. 04Scheduled

The job lands on the calendar.

A signed job schedules itself — see the crew's day in one view, with nothing copied over by hand from the bid.

  5. 05Invoiced

    Fund the deposit.

The deposit invoice fires the moment it's signed, so materials come out of the client's money, not your float.

  6. 06Paid

Card or bank transfer clears it.

The client picks how they'd rather pay. Either way you collect the full deposit you quoted — never a smaller number because of how they paid.

  7. 07Booked

Every job posts to QuickBooks, categorized.

The deposit and progress draws post the moment money moves, and any card-price difference lands categorized right alongside them — nothing to re-key when the job closes out.

Your quote is what you keep

Stop paying to get paid.

Every quote and deposit invoice goes out with two prices, computed automatically — one for card, one for bank transfer. On a five-figure job the card difference is real money, and most contractors quietly eat it. Not here: the client who taps a card covers the difference inside the card price, a bank transfer carries none, and you collect the full deposit you quoted either way.

The question every contractor asks first

What happens when the scope changes mid-job?

Send the change order as its own signed addendum — it gets the same ESIGN-compliant, sealed record as the original quote, with its own timestamp and audit trail. The original scope you signed stays exactly what it was; the change order is the record of what changed, and when the client agreed to it.

Questions from the trades.

What does QuoteHQ cost for a contracting business?

Per-seat, billed monthly: Core at $29, Pro at $79, and Agency at $149 per user, per month, each with a 14-day free trial and no card required to start. Add a seat per estimator or project manager who sends quotes. There's no separate monthly fee to accept card or bank payments.

Will it sync jobs and payments to QuickBooks?

Yes — push-only to QuickBooks Online for US businesses. Each job invoice, the deposit and progress payments against it, and any card-price difference post automatically and land categorized, so your job costing and your books agree. An import wizard brings your existing customers and items over when you connect.

Does a signed quote hold up as an acceptance?

It's built to the U.S. ESIGN Act. When the client signs the quote, QuoteHQ captures consent, name, IP address, browser, and a timestamp, then seals the accepted scope to a tamper-evident PDF fingerprinted with a SHA-256 hash and keeps it archived — the record you want if a change order is ever disputed.

Who pays the card difference on a big deposit?

You don't. Every deposit invoice offers a card price — computed automatically — and a bank-transfer price. The client who pays by card covers the difference inside the card price; a bank transfer (ACH) carries no card difference at all. On a five-figure deposit that difference is real money, and it stays with you either way.

Is my customer and job data mine to keep?

Yes. QuoteHQ acts as your processor for the customer records you enter — we never sell personal information and never train general-purpose AI models on your data. Every signed quote and change order is retained and downloadable as a sealed PDF, so your paper trail stays yours.
