For event planners & production companies

The CRM for event planners — funded before the date.

Send the proposal, take a signed agreement and a deposit up front, and collect the balance before the date — the client pays card or bank, and you net the full amount you quoted.

Your week, mapped

Never carry the event on your own money.

Vendor deposits and venue holds come due long before the client’s final payment. QuoteHQ carries every event from the first inquiry to the funded balance, one line at a time.

  1. 01Lead

An inquiry becomes an event worth proposing.

A client asks what the day would cost. Note it as a lead, and the next step — the proposal — is one click away, not a fresh spreadsheet.

  2. 02Quote

Build the proposal from every vendor line.

Draft the proposal from line items — venue, catering, production, coordination — and send a branded page the client reads and signs on a phone.

  3. 03Signed

The client signs the agreement online.

You get a sealed, ESIGN-compliant PDF, so the scope and the numbers are on the record before you commit a single vendor.

  4. 04Scheduled

The event lands on your calendar.

A signed agreement opens the event's workspace with its timeline and vendor tasks already on it — nothing copied over by hand from the proposal.

  5. 05Invoiced

The deposit fires; the balance is scheduled before the date.

The deposit invoice fires the moment the agreement is signed. Schedule the balance invoice so it's due ahead of the event date — a standing rule, enforced without a chase.

  6. 06Paid

Card or bank clears the balance before doors open.

The client pays whichever way suits them, and you're fully funded before the event is scheduled to run — vendor deposits never come out of your float.

  7. 07Booked

Every event posts to QuickBooks, categorized.

The deposit and the balance post the moment money moves, and any card-price difference lands categorized right alongside them — nothing to re-key once the event has wrapped.

The question every event planner asks first

What if the guest count or vendor list changes?

Send the change as its own signed addendum — it gets the same ESIGN-compliant, sealed record as the original agreement, with its own timestamp. The original scope you signed stays exactly what it was; the addendum is the record of what changed, and when the client agreed to it.

Questions event planners ask.

What does QuoteHQ cost for an event or production company?

Three per-seat plans, billed monthly: Core at $29, Pro at $79, and Agency at $149 per user, per month. Every plan starts with a 14-day free trial and no card is required to begin. Add a seat per planner or coordinator who quotes and bills events.

Does it sync deposits and balances to QuickBooks?

Yes. QuoteHQ pushes to QuickBooks Online for US businesses: the deposit, the balance invoice, the payments against them, and any card-price difference all post automatically and land categorized. Already keep books there? The import wizard brings your existing clients and items over.

Is an e-signed event agreement legally binding?

It's built to the U.S. ESIGN Act. When the client signs the agreement, QuoteHQ captures their consent, name, IP address, browser, and a timestamp, then seals the agreed scope to a tamper-evident PDF fingerprinted with a SHA-256 hash and keeps it archived — the record you want if the run-of-show is ever disputed.

Who pays the card difference on a big-ticket balance?

You don't. Every deposit and balance invoice offers a card price — computed automatically — and a bank-transfer price. A client who pays by card covers the difference inside the card price; a bank transfer (ACH) carries no card difference at all. On a five-figure balance that difference is real money, and it stays with you either way.

Do I own my client and event data?

Yes. For the client records you enter, QuoteHQ acts as your processor — we never sell personal information and never use your data to train general-purpose AI models. Every signed agreement is retained and downloadable as a sealed PDF, so your events and their terms stay yours.
