Privacy Policy

1. Who we are and what this covers
QuoteHQ (“QuoteHQ,” “we,” “us”), operated by Quote HQ Inc., provides a software platform for service businesses. This Privacy Policy explains how we collect, use, share, and protect personal information in connection with our website and the Service, and the choices available to you. It should be read together with our Terms of Service.
Two roles. For information about our own account holders and website visitors, we act as a controller. For the data our customers put into the Service about their own leads, clients, and contacts, we act as a processor on the customer’s behalf — the customer is the controller of that data and is responsible for its handling (see Section 9).
2. Information we collect
Account information. When you register, we collect your name, email address, organization details, role, and authentication information (including two-factor settings if enabled).
Customer Data you submit. Information you and your users enter into the Service, including lead, client, and contact records, proposals, invoices, projects, tasks, and documents you send for signature. This may include personal information about your own clients that you choose to provide.
Signature and audit data. When a document is e-signed, we record the signer’s name, consent, a timestamped audit trail, IP address and user-agent, and a sealed copy of the signed document.
Payment information. Card and bank details are collected and stored by our payment processor (Finix) through its hosted, tokenized forms. We do not receive or store full card numbers or bank credentials; we retain limited, non-sensitive details such as card brand, last four digits, and transaction status.
Usage and device data. We collect log, device, and usage information such as IP address, browser type, pages viewed, and actions taken, including diagnostic data used to detect and fix errors.
Communications. If you contact support, we keep a record of your messages.
3. How we use information
We use information to:
- provide, operate, maintain, and secure the Service;
- process subscription and invoice payments;
- send transactional messages (such as sign-in, billing, proposal, signature, and invoice notifications);
- provide support and respond to your requests;
- monitor, troubleshoot, and improve the Service, including detecting and preventing fraud, abuse, and security incidents;
- comply with legal obligations and enforce our Terms.
We do not sell your personal information, and we do not use Customer Data to train general-purpose AI models.
4. How we share information
We share information only as described here:
- Service providers (subprocessors) that help us run the Service, under contracts that limit their use of the information — see Section 5;
- Payment partners (Finix and Thryve) to process payments and onboard merchant accounts;
- Integrations you enable (such as QuickBooks Online), to which we send the relevant data at your direction;
- Legal and safety reasons — to comply with law, respond to lawful requests, or protect the rights, property, or safety of QuoteHQ, our customers, or others;
- Business transfers — in connection with a merger, acquisition, financing, or sale of assets, subject to this Policy.
5. Subprocessors
We rely on the following third-party service providers to operate the Service. Each processes personal information only as needed to provide its service to us:

6. Data retention
We retain personal information for as long as your account is active or as needed to provide the Service, and thereafter as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements. Sealed signed documents are retained in accordance with the record-retention requirements of the U.S. ESIGN Act. After termination, we may delete or de-identify Customer Data in the ordinary course, except for records we are required to retain by law.
7. Security
We use technical and organizational measures designed to protect personal information, including encryption of sensitive data at rest, encryption in transit, access controls, optional two-factor authentication, and rate limiting on authentication endpoints. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. You are responsible for keeping your credentials confidential and for the security practices of the users you invite.
8. Your rights and choices
Depending on your location, you may have rights to access, correct, delete, or receive a copy of your personal information, and to object to or restrict certain processing. Because much of the personal information in the Service is Customer Data controlled by our customers, if you are one of our customer’s clients you should direct such requests to the business you interacted with; we will assist that business as its processor.
California residents. We do not sell or “share” personal information as those terms are defined under California law, and we do not discriminate against you for exercising your privacy rights.

9. Customer Data and our customers' clients
When a business uses QuoteHQ to manage its leads, clients, proposals, and invoices, that business is the controller of the personal information it submits, and we process that information on its behalf under our Terms of Service. If you are an individual whose information appears in the Service because you are a client of one of our customers, please direct requests about your information to that business. We will support our customers in responding to such requests.
10. Data location and international transfers
We and our subprocessors are located primarily in the United States, and information we process is stored and processed in the United States. If you access the Service from outside the United States, you understand that your information will be transferred to and processed in the United States, where data-protection laws may differ from those in your jurisdiction.
11. Cookies and similar technologies
We use strictly necessary cookies to keep you signed in and to operate the Service, and we use a bot-protection service (Cloudflare Turnstile) on certain pages. We use limited diagnostic and error-monitoring tools (such as Sentry) to keep the Service reliable. We do not use third-party advertising cookies.
12. Children
The Service is intended for businesses and is not directed to children under 18. We do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us so we can delete it.
13. Changes to this policy
We may update this Privacy Policy from time to time. If we make a material change, we will notify you (for example, by email or an in-product notice) before it takes effect. The “Effective” date at the top of this page indicates when it was last revised.
